Medication Prescribing & Dispensing Workflow
KKBM uses a SystmOne–PHIS integration for prescribing (initiated in SystmOne) and dispensing (finalized in PHIS).
Prescribing & Dispensing Workflow
Doctor Prescribes in SystmOne
Medications are entered and saved in the patient profile
Data Transmission to PHIS
Upon saving, prescription data is automatically sent to PHIS via the SystmOne–PHIS Gateway
Pharmacist Verifies and Dispenses via PHIS
PHIS receives the data. The pharmacist verifies, processes & dispenses medications
Amendment Handling
If corrections are needed:
- Pharmacist query medication error via feature Medication Query --> call doctor for confirmation
- Doctor use feature Stop Medication --> Medicaton in PHIS cancelled
- Doctor re-prescribe new medication or update dosages --> re-saves the profile
- Data sync to PHIS & new medication entry created
One-Way Sync Limitation
- Deletions or changes made directly in PHIS are not reflected back into SystmOne
- SystmOne will retain the last saved prescription unless manually updated by the prescriber
It is by protocol:
Any medication prescription is ONLY done via CCMS. No medication prescription should be done via PHIS to ensure seamless data integration between CCMS-PHIS.
Medication Data Audit Trail Ownership
For a complete medication audit, query both systems. SystmOne tells you the prescriber's intent and amendment history. PHIS tells you what the patient actually received.
| System | Audit Trail Owner | What is Tracked |
|---|---|---|
| SystmOne | BKD KKBM ICTSO | Prescription creation, edits, deletions (one-way integration) |
| PHIS | Pharmacy Unit, PHIS System Administrator | Dispensing records, modifications Any changes made in PHIS does not reflect back to patient's data in SystmOne |
Info:
When we need to extract an accurate audit trail of a patient's medication history, the finalized data in PHIS is considered the most reliable source.
